Send an email campaign to families using a template
How to use “Send Emails” in Badgie: choose recipients, pick an email template with the club’s design, tweak it just for this send and send it now or on a schedule.

Quick answer
In Badgie, Communications → Send Emails opens the “Email campaign”: a saved design, sent by email to whoever you choose. It works in three steps, Who?, The email and When, and always starts from one of your email templates.
It is the option for newsletters, season welcomes, reports or any formatted email. For short notices by WhatsApp or app, use WhatsApp and App.

Where to find it
- Web dashboard: Communications → Send Emails.
- Templates: created and edited in Communications → Email templates.
- Tracking: every campaign is kept in Communications → Send Control.
Step by step
- Open Communications → Send Emails.
- Who?: choose Students, Parents & guardians and/or Teachers, one by one or with By Smart Tag. Each person receives it only once.
- The email: click Pick a template, browse the “Your email templates” gallery and click Use this template. Give it an Internal name so you can find it later in Send Control.
- If you need to touch up the content, the changes apply only to this send; Restore the design takes you back to the original and Edit template changes the saved design for good.
- If the template mentions a team, choose the Team this email is about to fill in its details.
- Add attachments if needed: PDF, JPG or PNG, up to 10 MB per file and 15 MB in total (maximum 5 files).
- When: Send now or Schedule with a day and time.
- Confirm. The preview on the right shows the subject and the email each recipient will get, with their variables already filled in.
What families see
An email with the club’s logo and name, the template content personalized with the student’s or guardian’s name and, at the bottom, buttons to download the Badgie app. If you connected the club’s mailbox (Gmail/Google Workspace or Microsoft 365) in Settings → Emails, the email goes out from your own mailbox; otherwise Badgie sends it for you.
By sport
The campaign works the same in every sport. It is common to have templates for each activity (for example “Welcome to a new swimmer” or “Group schedule change”) and to segment with group, level or team Smart Tags.
With the AI agent
Badgie Agentic can write or improve the text of a template, and send email payment reminders to families with outstanding receipts as a proposal that you approve. For a free-form campaign to many families, the send is done from this screen.
Frequently asked questions
Can I write an email without a template?
The email campaign starts from a template. If you only want a short text, in WhatsApp and App you can tick the Email channel and Badgie generates the email automatically.
Is the email translated into each family’s language?
Templates are translated into Badgie’s 6 languages with AI when you save them.
Does changing the text in the campaign modify the template?
No. What you edit in the campaign applies only to that send. To change the saved template, use “Edit template”.
How do I know it arrived?
In Send Control you see each campaign with its recipients, reached, coverage and failures, plus the detail for each person.
