Quick answer
Badgie does not give you a single assistant: you get a team of AI teammates, each specialised in one area of the club (payments, calendar, badges, students, training, marketing, lead generation…). The Super Coach coordinates them all; each specialist appears on the pages of its area and can only make changes in its role's domains. All of them read the club's real data, learn from your Playbook and follow the Delegation you set: anything not on Auto, and everything written to families, goes to Pending for your approval.

Where to find them
- In every dashboard section: the specialist for that page sits in the bottom-right corner with its colour and name (for example Badges in Academy → Badges, Finance in Finance, Analyst in Club control). Clicking it opens its side panel with its conversation, a Conversations button (its history) and New.
- In the Super Coach (⌘J): every conversation from every agent, each tagged with its agent's colour.
- In the Badgie app: the school profile opens the team screen, with the agents, each one's live thread and the New agent button.
- The Playbook: Club control → Agent playbook.
The teammates and what each one does
Seven make up the core and are created automatically the first time the club opens the module:
- Badges · Collections, artwork and recognition: designs collections with their artwork, proposes awards to students and groups, follows the level pathway and belts, and measures which recognition works.
- Finance · Unpaid fees, reminders and cash health: watches unpaid fees, payments, recurring billing and payment plans, and prepares reminders, bulk manual charges, voids and payment plans. Works with Badgie Finance or GolfManager.
- Calendar · Classes, events, birthdays and attendance: recurring classes and events, schedule changes and holidays, automatic birthdays, attendance and roll call, coach sign-ups and access, and their time tracking.
- Students · Sign-ups, records, families and enrolments: sign-ups and app access, records (health, kit, licences), segments, enrolment forms, churn risk and the prospect funnel up to enrolment.
- Sports coach · Reports, training, tournaments and progress: reports, session notes, roll call, progress (tests, pathway, TrackMan, swing), the football academy's match week (call-ups, match sheets, minutes, attributes, album), tournaments and educational nutrition.
- Community manager · Posters, social media and announcements: marketing plan, posters with the brand template, scheduled posts, brand documents, announcements to families and replies to public comments.
- CRM · Leads · CRM, leads and acquisition funnel: handles leads, moves the funnel (calls, trials, trial report, enrolment), optimises Google Ads and looks after the landing page and directory listing.
Three more are added depending on the club (sport, modules and age):
- Retention · Churn risk, disengaged families and re-engagement.
- Club caddie · GolfManager, handicaps and club life (RFEG licences, outings, internal league, Clubhouse, TrackMan and swing).
- Onboarding · Your first 30 days: sets up coaches, timetable, students and modules one step at a time until the first badge is awarded.
And the New agent gallery has other ready-made roles:
- Social Inbox · Families, timetables, group changes and sign-ups: answers Instagram and Facebook direct messages and comments with the club's rules, proposes the reply and turns real interest into a lead.
- Analyst · KPIs, comparisons and management summary: census, cash, attendance, acquisition and app usage, with charts, spreadsheets and reports. Read-only.
- GolfManager: GolfManager payments, debts and customers, available when the club has the integration connected.
Step by step: working with a specialist
- Go to a club section (for example Finance) and click the specialist in the bottom-right corner.
- Ask in plain language («How are payments going this month?»). It knows which page you are on.
- Check the answer: real club figures and names.
- If it proposes a change, approve or reject it in Pending (Super Coach → Control). Anything written to families, students or leads always waits for your approval.
- To continue the conversation with the whole team, open it in the Super Coach (⌘J).
- In the app, tap New agent to add another role: it starts working straight away.
What each one can (and cannot) do
- They can all read any club data the user is allowed to see.
- Each one can only change things in its role's domains: Finance in payments, Badges in badges, Community manager in marketing and the Social Inbox, and so on.
- None goes above its area's Delegation level (Off, Suggest or Auto), set in Super Coach → Control → Delegation.
The Playbook: teach them how your club works
Club control → Agent playbook holds everything the team knows about the club and where it learned it. Tabs: Knowledge, Rules, Memory, Templates, Coaches and zones and Conversations, plus Its voice (the tone it writes in). The interface currently shows these labels in Spanish.
- In Rules, dictate a rule as you would tell a new member of staff («we don't give prices on WhatsApp without talking to management first») and click Save. You can group rules with New topic and mark them as «Always» or «Preferred».
- In Memory, tell it club facts (timetables, who is who). You can also ask in the chat: «remember that…».
- In Templates, save and approve the messages it sends to families.
- Knowledge shows how much the agent knows compared with everything discussed, and how much is up to date.

What families see
Families do not see the agents or their conversations. They only receive what the club approves: a payment reminder, a training note, a badge or an Instagram reply.

How many agents does my club have?
Seven as standard (Badges, Finance, Calendar, Students, Sports coach, Community manager and CRM · Leads) and up to three more depending on your club (Retention, Club caddie, Onboarding). You can add others from New agent in the app.
Do I have to write instructions?
No. Each agent starts from a ready-made role. You teach it your club with the Playbook's rules, memory and templates.
Can an agent touch areas that are not its own?
No. It can look at everything, but it only changes things in its role's domains and never above the area's Delegation level.
Do they use credits separately?
No. They all share the club's credit wallet, shown in the Super Coach.
